Most people use AI to write the odd email. I have it running my day before I even sit down.
Over the last few months I've wired four automations into my Claude setup. They run quietly in the background while I work — gathering, summarising, and tidying so I can spend my hours on the thinking that actually moves projects forward.
None of this is magic. It's four well-designed scheduled tasks in Claude Cowork — the mode in the Claude desktop app that does the work instead of just answering questions. You set each one up once; it runs on its own from then on.
Here's all four, with the exact prompt to copy. If you can write a text message, you can build these.
Before you start
You'll need:
- The Claude desktop app (Mac or Windows) — from claude.ai.
- A plan with Cowork — included in Pro ($17/mo), and in Max for heavier use.
- Connectors for what each task needs — calendar, email, a notes folder. You choose exactly what Claude can access, and it can't touch anything you haven't allowed.
In Cowork, every task below is the same three moves: paste the prompt → set a schedule → approve the first run. Let's go.
1 — Morning brief
What it does: Before I open my laptop, a short brief is already waiting — the AI, job-market, and project headlines that actually matter, plus my calendar and the emails that need me. I didn't make it. Claude did, at 6am.
Paste this, edit the brackets, schedule it daily at 6:30am:
Every morning, prepare my daily brief. Keep it under 200 words.
Include:
1. Today's calendar — meetings, times, anything to prep for.
2. Email — only messages that genuinely need a reply today, one line each.
3. Top 3 priorities for the day, based on [my notes folder].
4. Any headlines worth knowing in [AI / my industry].
Format it as a clean summary I can read in 60 seconds.
Show me the brief — don't send anything on my behalf.
That last line matters: it tells Claude to produce the brief, not fire off emails. You stay in control.

2 — Inbox triage
What it does: Instead of fifty emails to dig through, I get one notification on my phone: what's urgent, and what needs a fast reply. The noise stays in the inbox.
Paste this, schedule it 2–3 times a day (say 9am, 1pm, 5pm):
Scan my inbox since the last time you ran.
Sort what you find into:
- URGENT — needs me today (sender + one-line why).
- QUICK REPLY — a short response clears it (sender + suggested reply).
- IGNORE — newsletters, receipts, no action.
Give me only the URGENT and QUICK REPLY lists, as short bullets.
Draft the quick replies but DO NOT send anything — I'll review.
Start it read-only. Once you trust the sorting, you can let it draft replies into your drafts folder automatically.
3 — Meeting notes
What it does: Every call gets transcribed, and the key points and action items land straight in my workspace. I stop scribbling and actually listen.
Paste this, and run it after each meeting (or schedule an end-of-day sweep):
Take the transcript from [my meetings folder / recording tool] and produce notes:
1. One-paragraph summary of what was decided.
2. Action items — who owns each, and any due date mentioned.
3. Open questions left unresolved.
Save the notes to [my workspace / notes folder] named by date and meeting title.
Flag any action item that's mine at the top.
If your calls aren't recorded yet, connect your meeting tool's transcript export first — that's the only source this needs.
4 — Weekly planning
What it does: Every Monday it reads my calendar and hands me a structured week — priorities first, not just a list of meetings.
Paste this, schedule it weekly, Monday 7am:
Every Monday, plan my week.
Read my calendar for the next 7 days and my [priorities / projects notes], then give me:
1. The 3 outcomes that matter most this week.
2. A day-by-day view — what to focus on each day around my meetings.
3. Anything that looks overbooked or in conflict, flagged early.
Keep it tight. This is a plan I'll act on, not a report.
Staying in control
Cowork takes real actions, so it's built to keep you in charge:
- You decide what it can access — folders and connectors, nothing more.
- It asks before acting on anything significant, and you can redirect at any step.
- For anything financial, personal, or work-critical, always confirm before it runs.
Start each task read-only ("show me, don't send"). Once you trust it, loosen the leash one task at a time.
